What does the homeowner fill in?
One scrolling form in four parts, with a bar showing how many are done:
- Their details: name and email, with phone and property address.
- The pool they have in mind: up to 8 cards from your catalogue, each with its picture, or "Not sure yet". Under it, up to 12 extras from your catalogue to tick.
- Photos of the yard: up to 5, JPG, PNG, WebP or iPhone HEIC, kept at full quality up to 20 MB each.
- Budget and notes: a budget in their own words, such as "$60k to $80k", and up to 2,000 characters of notes.

How do you send a private request link?
Request photos on a customer, or Ask the homeowner on a new project, makes a link for one homeowner. Copy it, text it, email it or show its QR code. It opens prefilled with what you already know and works for 14 days. Its status reads Sent, Opened, Filling in or Submitted, and you can revoke it until the homeowner sends it.
Can the form sit on your own website?
On websites PoolQuote builds, it can. The quote form is the site's own page, with nothing framed or embedded, and each request lands in your account the way a request link does. It is also emailed to up to 3 inboxes, with the answers, the photos attached and an Open in PoolQuote button. The PoolQuote team sets the form up and manages it, and the pricing page shows which plans include a website.
What happens when a request comes in?
The first photo creates the customer and the project, so nobody retypes anything. When the homeowner sends the form you get a notification such as "Dana Reyes sent a pool request", with a line like "4 photos · Freeform · $60k to $80k". The project's Property step shows a Homeowner request card with every answer, and it notes when the email or phone matches a customer you already have. When you publish the first proposal for that project, PoolQuote emails the homeowner the link, branded with your name and logo.
Worked example: from website request to first proposal
Sample Pool Company and the homeowner are fictional.
- Monday, 7:40 pm: a homeowner opens the quote form on the company's website, picks the freeform pool, ticks a rock waterfall and a spa, adds 4 yard photos and writes a budget of $70,000 to $90,000.
- Monday, 7:52 pm: the office inbox gets the request email with the photos attached, and the customer and project are already in PoolQuote.
- Tuesday: the salesperson creates designs on the homeowner's own photos and draws the yard on the 2D site plan.
- Thursday: the first proposal is published, and the homeowner gets an email with the link.
Is the request form safe for homeowners?
The request page is hidden from search engines and carries your name, logo and call button. A hidden field catches bots, and sending is rate limited per address, so one visitor can't flood your account. Only you see the photos, on the project they created.
