Pool quote software for pool builders

PoolQuote is visual quote software with a built-in quote CRM for US pool builders. You price each option from your own catalogue, show it as concept images, a 2D site plan and 3D, and send one proposal link the homeowner can compare, ask about and accept. It does not do scheduling, invoicing or job management.

What is pool quote software?

Pool quote software turns a site visit into a priced offer a homeowner can read. Builders also search for it as pool estimating software or pool proposal software. In PoolQuote the estimate is a set of priced lines for each option, and the proposal is one link that carries those lines together with pictures of the design. A quantity comes from the 2D site plan or from a measurement you type. Until you have it, the line says it is waiting for a quantity, and the app never fills in a guess.

How does a quote come together?

A project starts with a customer name and a property address, and creating it does not use a credit. The work then runs through four steps on the project: Visualise, Plan, Price and Send.

  • Property: take phone photos from where the pool goes, or send the homeowner a link to upload their own. You can add satellite and Street View images of the address; a saved satellite or 3D aerial view uses one aerial credit.
  • Concept images: pick a pool, finish, deck and features from your catalogue and render them on the customer's own photo. Each render uses one image credit, and a failed render gives it back.
  • 2D site plan: draw the pool, spa, deck, fences and gates to scale over a survey PDF or a photo. Areas and lengths from the drawing fill the quote's quantities.
  • 3D: the same drawing stands up in 3D. It is one document, so a change made in 2D shows in 3D and the other way round.
  • Price: build up to five options, lettered A to E, from your catalogue prices.
  • Send: publish one proposal link and share it by text or email.

How are options priced from your catalogue?

Each line copies its price from your catalogue item and shows the working under its name, such as "720 sq ft × $12 = $8,640". A deck priced by the square foot takes its area from that option's plan. A product with no price still draws in the design, but its line reads price required, and the option cannot be published until you set one. Packages save a good, better or best selection, and you can make up to three options from packages in one go; later edits to a package never change an option already made from it. Before sending you set the deposit to begin (none, 10% of the total or a fixed amount), how long the offer stays valid, and a checklist of what the option includes.

What does the homeowner see on the proposal link?

The homeowner opens a page with your logo and every option you sent. With more than one option, a board lists each option's total and what differs from the others. Each option shows its design images, a slider that compares a design with today's photo where one is paired, the plan from above and a 3D view they can explore. A decision card holds the total, the deposit and the offer end date, with buttons to approve the option, ask a question or request a change. They can like a design image and download the proposal as a PDF. No payment is taken on the page. When you save a change to a sent option, the same link shows the new revision.

How does the quote CRM track follow-ups?

Every open, like, question, change request and approval lands on the project. Team members who can see the option get a notification that names the action, the option letter and the property address. The quote page shows how long the homeowner spent reading, for example "6 min · mostly Option B". After two minutes or more of reading with no question, like or sign of interest, the suggested next step is a call about the option they read most. Schedule follow-up saves a call, email or text reminder for a date and time, with a note. Customer lists import from CSV or XLSX.

Worked example: one backyard, two options

Sample Pool Company is fictional, and its prices are made up to show the arithmetic, not market rates. The property is 12 Palm Ave. Both options use a 16 × 32 ft pool with a 6 ft travertine deck band. The deck's outer rectangle is 28 × 44 ft, or 1,232 sq ft; take away the 512 sq ft of pool and 720 sq ft of deck is left. The coping runs the pool's 96 ft perimeter.

  • Option A, pool and deck: pool package 1 × $48,000; travertine deck 720 sq ft × $12 = $8,640; coping 96 LF × $35 = $3,360; pool handrail 1 × $850, tagged "Included because the design has entry steps". Total $60,850, with a 10% deposit to begin of $6,085.
  • Option B, pool, spa and lights: every line in Option A, plus a raised spa at 1 × $14,500 and LED pool lights at 2 × $1,385 = $2,770. Total $78,120, with a 10% deposit of $7,812.
  • On the homeowner's options board, Option B reads "Differs: Raised spa, LED pool lights" and Option A reads "Differs: No Raised spa, No LED pool lights", so the homeowner can see that the spa and the lights make up the $17,270 between the totals.
  • The homeowner likes a design view of Option B and asks whether the spa can sit on the other side. The estimator gets "The homeowner asked a question · Option B · 12 Palm Ave" and schedules a call for 10:00 the next morning.

What doesn't PoolQuote do?

PoolQuote covers the sale up to the homeowner's approval of an option. An approval in PoolQuote is not a signed construction contract or a collected deposit. These stay in other software or with other professionals:

  • Scheduling: there is no crew calendar and no job dates.
  • Invoicing: it sends no invoices, and the proposal page takes no payment.
  • Job management: build phases, crews and punch lists stay in the software you run them in.
  • Engineering: concept images are not measurements or engineering, and a render can differ from the product it shows, so check each one before you send it.
  • Permit approval: the 2D site plan is drawn to scale, prints a permit sheet set as a PDF and exchanges drawings with CAD as DXF. It does not certify survey lines, code compliance or permit approval.

Who is PoolQuote for?

Owners, estimators and salespeople at US residential pool and outdoor-living companies who want the homeowner to see each option, priced, before deciding. It suits a builder who already runs jobs and books in other software and wants the quote itself to be visual and tracked. Base and Entry are single-seat plans.

What does PoolQuote cost?

Each plan includes a monthly allowance of image, aerial and AI credits and of published quotes. The pricing page lists the current plans, their prices and what each one includes.
