Privacy Policy

This policy explains what PoolQuote stores, why it is needed, which providers process it, when staff can access project content, and how to request access, correction or deletion.

1. Scope

This Privacy Policy applies to PoolQuote, a software service operated by Mark At It LLC, a Texas limited liability company. References to ‘PoolQuote,’ ‘we,’ ‘us,’ or ‘our’ in this Privacy Policy mean Mark At It LLC, unless the context requires otherwise.

This Privacy Policy applies to PoolQuote's websites, contractor application, visual-rendering workflow, public quote links, demo requests and human-assistance services. PoolQuote is a business-to-business service, but a contractor may enter information about homeowners or share a proposal with them.

The service is governed by the Terms. We manage account, billing, support and security information for our own business purposes. Contractors determine why customer and property information is entered into their workspaces; requests concerning that information may need to be coordinated with the contractor.

2. Data we process

CategoryExamplesWhy we need it
Account and businessName, work email, phone, company, trade, team membership, settingsCreate and secure the account, provide support and manage the subscription.

Property and visual contentAddress, uploaded photos, map-derived views, camera position, selected products, instructions and rendered conceptsRetrieve property views and produce, review, store and share the requested concept.
Signup and sign-in securityWhen an account is created: IP address and the approximate location derived from it, browser and device, language and timezone, the page and referring site you came from and its campaign tags, the first visit this browser made to our public pages (kept in your browser for 90 days), how the form was filled, the email domain's mail server, and a public business-directory lookup of the company name (Google Maps). For staff accounts: sign-in devices and places.Detect and stop fake or automated signups, protect accounts and the service, and review access requests. These details are not used for advertising.
Engagement and deviceQuote opens, liked designs, questions, requested changes, IP-derived security/rate-limit dataShow engagement to the contractor, protect the service and prevent abuse.
BillingPlan, purchases, credit ledger, billing status, provider transaction identifiers, and a record of each purchase-terms acceptance (account, time, IP address, browser and the text accepted)Operate subscriptions, credits and refunds, and answer payment disputes; the acceptance record and account activity may be shared with our payment processor and the card issuer for that purpose. PoolQuote does not store full payment-card details.
Demo requestsName, company, work email, optional phone, preferred date and time windowConfirm and conduct the demo the visitor requested.

Public-site analytics

Our public pages load the Google tag (Google Analytics) to measure page visits, referring sites and campaigns, and demo-interest events (demo button clicks, calendar clicks, a submitted demo request). The Google tag sets Google Analytics cookies (_ga, _ga_*). Google receives the page address, your browser and device type and your approximate location derived from your IP address; Google Analytics does not store IP addresses. Google signals and ad personalization are turned off, ad storage is denied, and we do not use these data for advertising. We never send form contents, names, email addresses, property addresses, account identifiers or private quotation links. To opt out, use Turn off analytics in the footer of any public page: analytics stops on the pages you view next and the Google Analytics cookies on this site are deleted. Your choice is stored locally for 90 days. Opting out does not prevent a demo request. The product (the app, proposals and shared links) does not use analytics.

A submitted demo request or calendar click is not a confirmed appointment. Operational demo records are retained separately to respond to your request. Analytics events are subject to the configured Google Analytics retention settings.

3. How we use data

  • Provide accounts, customer records, property capture, visual concepts, quotes, sharing, engagement and follow-up.
  • Process billing, credits, quality reviews and authorized human-assistance requests.
  • Secure the service, prevent fraud and abuse, debug failures and maintain audit records.
  • Communicate about the account, requested demo, support, billing and material policy changes.
  • Comply with law and enforce the Terms of Service.

PoolQuote does not sell personal data, use it for targeted advertising, or train its own models on customer content. Requested rendering, vision and transcription send the relevant content to the selected providers. Their processing and retention depend on the applicable provider terms and account settings; this notice does not promise zero retention by every independent provider. Do not submit unnecessary sensitive information.

This revision does not authorize broader use of previously collected data contrary to the commitments made when it was collected. A change to provider processing must respect those commitments and any notice or consent required by law.

4. Human access to project content

Contractor project media is tenant-scoped. Human staff do not receive general project-media access merely because they work for PoolQuote. When a contractor requests human assistance, refund review or support, the request grants the assigned staff member or qualified reviewer access to the project context needed for that task. Platform administrators may access the minimum necessary information for security, billing, fraud prevention, legal compliance or incident response. Access and material administrative actions may be audited.

5. When data is shared

PoolQuote may share the minimum necessary data with:

  • Hosting, database and private-media storage providers.
  • Image-rendering, vision and speech providers used for requested rendering, quality review, brief creation or transcription.
  • Map and property-imagery providers when the contractor requests those sources.
  • Payment and email providers when those services are configured and used.
  • Professional advisers, authorities or counterparties when required for law, security, a dispute or a business transaction.
  • Recipients holding a valid, unexpired quote-share link created by the contractor.

PoolQuote does not disclose data to data brokers or advertising networks.

Processing may occur in the United States or other countries where our providers operate. Privacy protections may differ by location. We remain responsible for obligations that applicable law places on PoolQuote; using a provider does not waive an individual's mandatory rights.

6. Retention

Account, customer, project, quote and media records are retained while needed to provide the contractor's workspace and history. Security, billing, credit and audit records may be kept longer when needed for fraud prevention, accounting, disputes or law. Public quote links expire or can be revoked. Provider-specific source data may have shorter licensing limits. Backup copies may remain until the applicable backup cycle expires; retained copies are restricted to recovery, security and legal needs.

7. Security

PoolQuote uses organization-scoped access checks, private media storage, short-lived signed access, hashed share tokens, rate limits, role and task boundaries, authenticated staff accounts and audit records. No service can promise perfect security. Contractors must protect their credentials and share links and promptly report suspected unauthorized access. Anyone who receives a working proposal link may be able to view its shared content; revoke a link if it is distributed beyond its intended recipients.

8. Your choices and privacy requests

Depending on applicable law, an individual may ask whether PoolQuote processes their personal data and request access, correction, deletion or a portable copy. PoolQuote does not sell data or use it for targeted advertising, so those opt-outs are not required to stop such activity.

Email veera@poolquote.app with “Privacy request” in the subject. Include enough information to verify the request without sending passwords or sensitive credentials. If PoolQuote denies a request, reply with “Privacy appeal” and the reason you believe the decision should be reconsidered. PoolQuote will respond within the period required by applicable law.

9. Contractor responsibilities

The contractor controls the customer and property data entered into its workspace. The contractor must have a lawful basis and any required homeowner permission to collect, upload, render from and share that data. Contractors should not upload government identifiers, financial-account data, health records or other information that is not needed for a visual quote.

10. Children

PoolQuote is not directed to children under 13 and is intended for business users. Do not use the service to collect children's personal data.

11. Changes and contact

PoolQuote may update this policy as the service or law changes. Material changes will be posted with a new effective date and communicated when required. Questions may be sent to veera@poolquote.app.
