ProDBX alternatives for pool builders

ProDBX is all-in-one software for pool and fence contractors, covering CRM, estimating with live supplier pricing, project management and accounting, priced per user per month with a five-user minimum on its Essential and Professional plans as of November 2026. If you want the same depth with different pricing, look at Poologics or Builder Prime. If the part you want to change is the sale itself, PoolQuote, visual quote software with a built-in quote CRM, can sit beside the tools you already run.

What does ProDBX do well?

ProDBX is built around pool construction from the first lead to the final payment. From its home page, pool page and pricing page, checked November 3, 2026: For a builder who wants one system for sales, production and the books, it covers all three.

  • lead capture, follow-up automations, emails and texts, and a sales pipeline
  • estimates with live supplier pricing; its pricing page lists SCP/Poolcorp and Heritage Pool Supply live pricing integrations
  • digital proposals, contracts and forms that customers review and sign online
  • job, crew and phase scheduling, work orders, purchase orders and vendor portals
  • progress payments, job costing, invoices and payments, and QuickBooks integration
  • a crew view for schedules, job details and progress photos
  • pool and fence pricebooks, proposal, contract, checklist and email templates, and pool build phase templates on day one
  • a customer portal on Enterprise, and AI notes summarization and content generation listed in its plan table
  • 1-on-1 training with in-person options, and US-based support on every plan

Why do builders look for a ProDBX alternative?

These are the practical differences to weigh.

  • Essential and Professional have a five-user minimum, and Enterprise has a ten-user minimum. A two-person company pays for five users on those plans.
  • The lower prices are for new customers during their first six months. After that the list price applies.
  • The first 1,000 emails and 100 texts a month are included, then each email costs $0.004 and each text $0.03 (MMS $0.06 after the first 10).
  • ProDBX's pages describe proposals, contracts and job photos. They don't list images of the proposed pool on the customer's yard (checked November 3, 2026).
  • Some builders want only the sales side and already have scheduling and accounting elsewhere.

Poologics: pool construction management, priced per company

Poologics describes itself as business software for pool professionals, a web-based platform that runs on any computer or mobile device. Its feature list covers CRM and lead management, estimates and proposals with a price book, project management and scheduling, document storage for contracts and change orders, project finances and budgets, permits and inspections, punch lists, warranties, and connections to QuickBooks and Google Mail and Calendar. On October 27, 2026 its pricing page listed $279 a month billed annually ($3,348 a year) or $329 billed monthly, for up to 20 users, with human onboarding. On November 3, 2026 the same page showed unlimited set-up, support and access but no price we could read, so confirm the figure with Poologics. For a team of five to twenty, one company price can come out well below per-user pricing.

Builder Prime: home improvement CRM with a pool and spa page

Builder Prime sells a CRM and operating system for home improvement contractors, with a page for pool and spa companies. That page covers lead tracking, automated email and text follow-up, pool and spa proposals with consistent pricing and branded templates, digital signatures, drag-and-drop scheduling, reporting, invoices, deposits and payments, and QuickBooks sync. Its pricing calculator, checked November 3, 2026, shows a $300 monthly platform fee plus $60 a month per core user (office, admin and sales) and $10 a month per field user, with 17% off for annual billing. Add-ons such as SMS messaging ($200 base plus $0.03 a message) are priced separately. It suits builders who also sell other outdoor or remodeling work.

Jobber or Housecall Pro: general home service software

If your company does more service and repair than new construction, general home service software can be enough. Both handle quotes, scheduling, invoicing and payments, and both let you add pictures to a quote: Jobber on its Grow plan, Housecall Pro with the sales proposal tool on Max. Neither is built for pool construction phases. Our Jobber and Housecall Pro pages cover each in detail.

PoolQuote: the visual sale, beside your operations software

PoolQuote is visual quote software with a built-in quote CRM for US pool builders. It does not do scheduling, invoicing or job management, so it is not a like-for-like replacement for ProDBX. It covers the sale: The pricing page lists the seats each plan includes. Builders who need production and accounting keep an operations suite next to it, which can be ProDBX itself.

  • concept images of your catalogue products on the customer's own property, from phone photos, satellite or Street View
  • a to-scale 2D site plan that fills quote quantities, and a 3D view of the same design
  • up to five priced options, A to E, from your catalogue and good, better or best packages
  • one link where the homeowner compares options, asks a question, requests a change or approves
  • opens, reading time and questions recorded on the project, and dated follow-ups

Worked example: a three-person pool company

A fictional builder has an owner, an office manager and one salesperson. Monthly subscription costs at list price as of November 3, 2026, before messaging, add-ons or onboarding: PoolQuote's row covers only the sale. The other rows cover the whole business.

  • ProDBX Essential, first 6 months. Calculation: 5 × $39. Per month: $195.

How do you choose a ProDBX alternative?

  • Which part do you need: sales, production, accounting, or all three?
  • How many people need a login, and is pricing per user, per company or a platform fee plus users?
  • Do you need live distributor pricing from SCP/Poolcorp or Heritage in your estimates?
  • How does the homeowner see the offer: a signed PDF, a portal, or a link with pictures of their own yard and priced options?
  • Can you export your customers, jobs and documents from ProDBX, and can the new tool import them?
  • What does onboarding cost and include, and what happens to promotional prices after the first months?

How much does ProDBX cost?
